This position holder is responsible for providing the Country President (and possibly his direct reports, if required) with professional secretarial and administrative support, which requires broad and comprehensive experience, skill, and knowledge of the organization's policies and practices in his efforts to reach his targets and deliver on his/her country strategic goals.

  • PA of SVP EA (Senior Vice President - East Asia) and of other CPs in EA

Responsibilities:

  • Time Management
  • Manages CP’s calendar and schedules including coordinating meeting invitations / visits.
  • Liaises with relevant individuals, external organizations etc to arrange meetings and prepare agendas  
  • Takes minutes of meetings
  • Arrangement of Travelling
  • Co-ordinates CP’s  travel itineraries, and makes related arrangements such hotel booking, transportation, visa,
  • Interaction with others
  • Takes and relays accurately and timely, all messages from telephone callers, and answer queries when required
  • Receives and directs visitors
  • Correspondences
  • Drafts / types / translates / dispatches CP’s correspondences.
  • Assist CP on contracts management (preparation of translated summary)
  • Prepares / composes / initiates correspondence, memoranda, presentation material, and reports
  • Management of information
  • Maintains a comprehensive filing system for CP.
  • Collects / opens all mails addressed to CP.
  • Opens / replies CP’s e-mails, when delegated
  • Claim of expenses
  • Tabulates and retrieves CP’s official expenditures and claims
  • Manages CP’s expenses versus budget.
  • Project Management
  • Depending on the level of the candidate, manage / animate internal transformation projects (development of new initiatives, preparation of events, lead General Administration team, etc…)

​Requirements:

  • University Degree, preferably in Business Administration, Law, Foreign Language
  • At least 5 years experience PA / secretarial experience at a senior level in international working environment
  • Business Understanding:
  • Others (e.g. language skills, technical skills):
  • Excellent communication skills, both verbal and written English
  • Excellent organization and time management skills
  • Having high level of confidentiality, integrity and business ethics
  • Ability to work under pressure and tight deadlines
  • Good computer literacy, especially in MS Word, Excel and Power Point
